Privacy Policy

This policy explains what information EaseRecord collects, why it is used, and the choices available to you when using the service.

1. Information you provide

EaseRecord collects information that you choose to provide when creating and using an account. This may include your name, email address, password, account preferences, plan, and notification settings.

When you create a record, you may provide details such as its title, category, description, organization, reference number, amount, important date, recurrence, and reminder preferences.

Eligible customers may also provide a mobile number and record consent for text reminders. Text reminders require separate phone verification before they can be sent.

If your plan supports receipt-photo storage, you may choose to upload one receipt image for a record. Do not upload information that is unnecessary for using the service.

2. Information collected through service operation

EaseRecord may process technical and operational information needed to provide, secure, maintain, and troubleshoot the service. This can include dates and times of activity, authentication information, reminder-processing results, error messages, and basic request or device information made available by the hosting environment.

Reminder records may include when a reminder was processed and the important date for which it was sent. This helps prevent duplicate reminders.

3. How information is used

EaseRecord uses information to:

  • Create, authenticate, and maintain your account.
  • Store, organize, display, update, archive, restore, and delete your records.
  • Process eligible reminders and prevent duplicate reminder delivery.
  • Apply plan limits and provide plan-specific features.
  • Respond to support requests and service questions.
  • Protect, maintain, troubleshoot, and improve the service.
  • Comply with applicable legal obligations and enforce service terms.

4. Email and text communications

EaseRecord may send service-related emails, including account messages and reminders selected for eligible records.

Text reminders are intended only for verified United States mobile numbers and require recorded consent. Consent is not required to create or use an EaseRecord account. You may disable text-reminder consent in your notification settings.

Email and mobile providers may process message-delivery information under their own terms and privacy practices.

5. How information may be shared

EaseRecord does not sell your personal information.

Information may be shared with service providers that help operate the application, such as hosting, database, email, communications, security, and technical-support providers. They receive information only as needed to perform services for EaseRecord.

Information may also be disclosed when reasonably necessary to comply with law, respond to valid legal process, protect customers or the public, investigate misuse, or protect the rights and security of EaseRecord.

If EaseRecord is involved in a merger, acquisition, reorganization, financing, or sale of assets, information may be transferred as part of that transaction, subject to applicable legal requirements.

6. Receipt photos and record privacy

Receipt photos are stored outside the publicly accessible web directory and are served through an authenticated, account-scoped application route. Uploaded JPG and PNG images are converted into optimized JPEG files, and embedded image metadata is removed during processing.

A receipt photo is deleted when it is replaced or removed. It is also deleted when its associated record is permanently deleted.

These controls reduce exposure but cannot guarantee absolute security. Do not use EaseRecord as the only location for an original or legally required document.

7. Data retention and deletion

EaseRecord retains account and record information while it is needed to provide the service. Active and archived records remain connected to your account until they are permanently deleted or otherwise removed according to service operations.

Some limited information may be retained after deletion when reasonably necessary for security, fraud prevention, legal compliance, dispute resolution, backup processing, or enforcement of agreements.

Account-deletion assistance can be requested through the Contact page. EaseRecord may need to verify the request before processing it.

8. Security

EaseRecord uses safeguards designed to protect customer information, including authenticated account access, hashed passwords, account-scoped record queries, request validation, CSRF protection, and private receipt-photo storage.

No online service can promise complete security. You are responsible for choosing a strong password, protecting your sign-in information, and promptly reporting suspected unauthorized access.

9. Your choices

  • You may review and update the records stored in your account.
  • You may archive, restore, or permanently delete individual records.
  • You may change eligible notification settings and disable text consent.
  • You may contact EaseRecord to request help accessing, correcting, or deleting account information.

Additional privacy rights may apply depending on where you live. EaseRecord may need to verify your identity before completing a privacy-related request.

10. International customers

Email-based EaseRecord features may be used internationally. Information may be processed in a country different from the one where you live. Privacy and data-protection laws may differ between countries. Text reminders are limited to eligible, verified United States mobile numbers.

11. Children’s privacy

EaseRecord is not directed to children under 13, and the service is not intended for them. If you believe a child has provided personal information through EaseRecord, contact support so the situation can be reviewed.

12. Changes to this policy

This Privacy Policy may be updated as EaseRecord changes or as legal requirements develop. The effective date at the top of the page will be updated when revisions are published. Material changes may also be communicated through the service or by email when appropriate.
