Reminder Guide

Choose how and when EaseRecord reminds you.

Each eligible record can use email, text message, both channels, or no reminder. This guide explains timing, recurring dates, plan allowances, and the conditions required for delivery.

Reminder timing

EARLIER NOTICE

7 days before

Useful when the customer may need time to gather information, compare options, schedule service, prepare payment, or contact an organization before the important date.

CLOSER NOTICE

2 days before

Useful when the customer wants a reminder closer to the due, renewal, expiration, or maintenance date.

Each record uses one timing selection: either 7 days before or 2 days before. EaseRecord does not currently send both timing reminders for the same record occurrence.

Email, text, both, or none

Email

Sends the reminder to the email address registered with the customer’s EaseRecord account. Email reminders are available worldwide on eligible plans.

Text message

Sends one SMS reminder to a verified United States mobile number. Text consent and an eligible plan with remaining monthly allowance are required.

Both

Attempts one email and one text reminder for the same record occurrence. The text counts as one message against the monthly SMS allowance.

None

Keeps the record organized without scheduling an email or text reminder.

One-time and recurring records

One time

The important date remains unchanged after it passes. No future reminder is created unless the customer edits the record and chooses a new date.

Monthly

After the date passes, an active record advances to its next monthly date and becomes eligible for the selected reminder again.

Yearly

After the date passes, an active record advances to its next yearly date and becomes eligible for the selected reminder again.

Recurring reminders continue until the customer stops them

Monthly and Yearly records do not have a separate end date. They continue advancing while the record remains active and unarchived. To stop future reminders, change the recurrence, turn off the record, archive it, or delete it.

Each successfully submitted SMS reminder counts as one message. Selecting Both uses one text from the allowance and also attempts the email reminder.

When the monthly allowance has been reached, EaseRecord does not charge an automatic SMS overage. Additional text reminders are not sent after the allowance is reached. Future eligible text reminders resume when a new monthly allowance becomes available. If Both was selected, the eligible email reminder can still be sent.

Unused text-message allowances do not roll into a future month.

Conditions required for a reminder

  • ✓ The record must be active and not archived.
  • ✓ The important date must match the selected 2-day or 7-day window.
  • ✓ The customer’s current plan must support the selected channel.
  • ✓ Email reminders require a usable registered email address.
  • ✓ Text reminders require a verified U.S. mobile number and active consent.
  • ✓ Text reminders require remaining monthly SMS allowance.

Duplicate protection

EaseRecord records which important date was last processed for a reminder. Running the scheduled reminder command again for that same record occurrence does not intentionally send the same reminder twice.

Delivery is not guaranteed

EaseRecord submits eligible reminders through its email or messaging provider, but delivery can be delayed or blocked by receiving providers, carriers, spam filtering, device settings, outages, incorrect contact information, or other conditions outside EaseRecord’s control.

Choose the reminder that fits each record.

Use an earlier notice when preparation takes time and a closer notice when the date only needs a final prompt.
