Subscription and Cancellation Policy

This policy explains how paid plans, renewals, cancellations, payment failures, downgrades, and billing-related refunds work.

2. Automatic monthly renewal

Paid subscriptions renew automatically each month using the payment method connected to the account unless the customer cancels before the next renewal date.

The renewal date is based on the customer’s individual billing cycle. It is not automatically the last day of the calendar month.

For example, if a subscription renews on the 21st of each month, the next billing period begins on the 21st.

3. Successful renewal confirmation

After a successful automatic renewal, EaseRecord or its payment provider will send a confirmation or receipt to the account email address.

The confirmation may include the plan, amount charged, transaction date, and next expected renewal date.

Customers are responsible for keeping their account email address current so billing notices can be received.

4. Cancelling a subscription

A customer may cancel a paid subscription before its next renewal. Cancellation prevents the next automatic charge.

Paid access continues through the remainder of the billing period that has already been paid. The account changes to the Free plan on the next renewal date.

Example: if a subscription renews on the 21st and the customer cancels on July 10, paid access continues through July 20. The account changes to Free on July 21, and no new renewal charge is made.

A cancellation confirmation will identify the date paid access is scheduled to end.

5. Choosing active records before a downgrade

If a customer moves to a plan with a lower active-record limit, EaseRecord will provide a list of the customer’s active records with checkboxes.

The customer may select which records should remain active:

  • Up to 5 active records when moving to Free.
  • Up to 50 active records when moving to Essential or Reminder Plus.

Active records that are not selected move to Archived. They are not permanently deleted.

Archived records remain connected to the account and may be viewed. They can be restored later when the plan has enough available active-record capacity.

6. If no records are selected

EaseRecord will remind the customer to make record selections before the scheduled downgrade date.

If the customer does not make selections in time, EaseRecord will keep the records that were most recently updated, up to the new plan’s active-record limit. Remaining active records will move to Archived.

For example, if an Unlimited customer has 12 active records and moves to Free without making selections, the 5 most recently updated records remain active and the other 7 move to Archived.

EaseRecord will send an email explaining how many records remained active and how many were archived.

7. Reminder changes after downgrade

Reminder availability changes when the new plan takes effect. The Free plan does not include email or text reminders.

Essential includes eligible email reminders but not text reminders. Reminder Plus and Unlimited include eligible email and text-reminder options subject to their monthly allowances and all verification requirements.

Archived records do not receive reminders.

8. Failed renewal payments

If an automatic renewal payment cannot be completed, EaseRecord or its payment provider will notify the customer and may retry the payment.

The customer will have a 7-day payment grace period to correct the payment method. During the grace period, records and paid-plan features remain unchanged.

If payment succeeds during the grace period, the paid subscription continues and a successful renewal confirmation is sent.

If payment remains unsuccessful after the grace period, the account moves to Free. The same active-record selection and automatic archival rules described above will apply.

9. Billing and downgrade emails

Depending on the account event, EaseRecord may send:

  • A successful renewal confirmation or receipt.
  • Confirmation that cancellation is scheduled.
  • A reminder to select records before a downgrade.
  • A failed-payment notice and grace-period information.
  • Confirmation that a downgrade was completed.
  • The number of records kept active and moved to Archived.

10. Upgrading or changing paid plans

Customers may change plans when plan-management features are available. Any price adjustment, credit, or immediate charge will be shown before the change is confirmed.

An upgrade may provide access to higher limits or additional features after payment is successfully processed.

A move to a lower paid plan may take effect at the end of the current billing period and may require record selections if the account exceeds the new plan’s active-record limit.

11. Refunds

Cancelling a subscription stops the next renewal but does not automatically refund the current billing period.

EaseRecord does not automatically provide a prorated refund for unused days after cancellation because paid access continues until the current paid period ends.

Duplicate charges, incorrect charges, and confirmed billing errors will be reviewed and refunded when appropriate. Other refund requests are reviewed individually.

12. Currency, taxes, and provider charges

EaseRecord prices are listed in United States dollars unless another currency is displayed during checkout.

A bank, card issuer, or payment provider may apply currency conversion, international transaction, or other charges. Applicable taxes may also be collected when required.

Charges imposed independently by a financial institution or payment provider are not EaseRecord subscription fees.

13. Cancellation is not account deletion

Cancelling a paid subscription changes the account to Free after the paid period ends. It does not automatically delete the account or permanently delete its records.

Account-deletion assistance is a separate request and may require identity verification.

14. Changes to this policy

EaseRecord may update this policy as billing features, payment providers, plans, prices, or legal requirements change. The effective date will be updated when revisions are published. Material changes may also be communicated through the service or by email when appropriate.
